Birmingham 2022 is looking for an energetic and confident Workforce Services Assistant to join our friendly team. In this role you will be responsible for supporting the systems processing and maintenance of all Workforce, including paid staff, volunteers and contractors within the Workforce Management System through the journey to Games Time. This role plays a pivotal part in each step of the Workforce journey including assignments, offers, invites to training and the scheduling and rostering of the Games Workforce.

Responsibilities

  • Assist in administering the process of sending out invitations to Volunteers to attend their and training session and monitor attendance
  • Work closely with Volunteer Recruitment, Training, Uniforms and Workforce Planning and Operations to gather information necessary for the processing of Workforce through the journey to Games Time
  • Ensure Functional Areas adhere to policies and guidelines for the scheduling and Rostering of volunteers and paid staff
  • Provide tools, templates, training, support and advice to Functional Areas to assist managing the assignments, scheduling and rostering of volunteers and paid staff
  • Leverage strong relationships with Functional Areas to ensure scheduling and rostering milestones are met
  • Participate in hosting a 'Scheduling Hub' to provide training and support to Functional Areas
  • Ensure quality data entry and maintenance of information in the Volunteer Scheduling System at all times
  • Provide appropriate reporting to the Workforce team and to Functional Areas as required
  • Supporting the Workforce department through teamwork, collaboration and motivation


Skills and experience

Essential

  • A good knowledge of computer software programs and Microsoft suite of applications, including MS Excel
  • Comfortable with the use of IT systems
  • Experience working with large databases, including data input
  • Maintains focus and clarity when working under pressure
  • Must be organised and able to prioritise competing demands
  • Effective and adaptable in a constantly changing environment
  • High attention to detail
  • Willingness to go the extra mile when required


Desirable

  • Experience of rostering a large workforce
  • Previous experience within HR, Recruitment or Volunteering
  • Ability to learn quickly and to absorb new and complex information

Salary: Competitive

Contract: Fixed-term contract until August 2022
