We are currently recruiting for two additional receptionists to join the Birmingham 2022 team to provide reception and administrative support to the Organising Committee at our Games Head Quarters (GHQ). This is an exciting opportunity for someone looking to further their career in business administration either as their first receptionist role or as a next step in their career. The successful candidate will work closely with all areas of the business to be the first point of contact for Organising Committee staff entering GHQ and ensure both office and facilities management administrative needs are met, and the office runs smoothly.

The Commonwealth Games are going to be a landmark event for Birmingham and this is a fantastic opportunity to get involved while also getting some great experience and a step up in your career. The role is broad, challenging and fast paced and will develop and change as the Organising Committee grows and increases in scope.

Responsibilities

  • Provide high quality service at GHQ reception desk, acting as the Birmingham 2022 first point of contact, coordinating all telephone and face to face enquiries in an efficient, friendly, and professional manner always.
  • Provide high quality, flexible office and facilities management support services to internal / external customers, ensuring that all administration tasks are completed on time and of excellent standard.
  • Monitor all dedicated office and facilities management emails and coordinate and action including liaison with service providers and building contractors.
  • Monitor and coordinate all meeting room bookings, with acceptance according to Birmingham 2022 policies and procedures.
  • Responsible for taking photographs and creating building access cards and issue on new starters first day.
  • Responsible for always maintaining the access control system making sure the database up to date; restrict access, cancel and delete access cards etc.
  • Respond effectively to all office and facilities management related queries and complaints, using effective listening, questioning and problem-solving skills; escalate, as necessary.
  • Help with the administration and maintenance of GHQ and Birmingham 2022 records.
  • Coordinate and assist with corporate functions and events when and as required.

Skills and Experience

Essential

  • Previous Office and/or Facilities Management administration experience
  • Good analytical and problem-solving skills
  • High level of organisational skills
  • Ability to prioritise demands
  • Ability to work in a fast pace environment whilst under pressure and multitasking;
  • 5 GCSEs at Grade A-C (or equivalent) including English Language
  • Proficiency in Microsoft Office 365- Outlook, Word, Excel, PowerPoint
