Birmingham 2022 is looking for an Athletes Village Accommodation Coordinator to join the Athletes Village Operations (VIL) Functional Area (FA). They will work very closely with the Commonwealth Games Association (CGA) Relations Team and key members of the competing CGA delegates to coordinate the allocation of accommodation to CGAs in the lead up to the Commonwealth Games and during the arrival process. Across the next 11 months, they will need to build strong and trusting relationships with the CGA delegates to facilitate their operational planning within the Villages. During the Delegation Registration Meetings (DRM) and during Games time, this position will be demanding and hands on to ensure that excellent service levels are maintained in terms of the accommodation and associated facilities provided to all residents within the Villages.

The ideal candidate will have strong communication skills and an ability to build relationships with key stakeholders at all levels. Responsibilities

  • Careful and accurate management of the allotment data.
  • Assist in the delegation of accommodation spaces across all Villages to ensure the inclusion of all necessary bed spaces as well as Commonwealth Games Association (CGA) operational, medical, office and storage facilities.
  • Gain detailed knowledge of the Commonwealth Games Village (CGV) layouts to be able to determine best utilisation of space allotment. Each Athletes Village Accommodation Coordinator will have a specific Village that they focus on, however they will support across all Villages.
  • Support the Allotment Lead with delivery of allotment data and associated information to the CGAs visiting during events including Chefs de' Mission Seminars.
  • Prepare and create materials for the various events and CGA visits, as well as ongoing communication with the team's leading up to the Commonwealth Games.
  • Assist in the coordination and actioning of all the CGA requests for room shifts and bed changes ensuring everyone that is impacted are well informed and prepared for the changes.
  • Work closely with the Logistics and Village Support Operations teams to ensure a smooth 'bump in' and 'bump out' of CGA furniture, fittings, and equipment (FF&E).

Skills & Experience Required

Essential

  • Experience of providing excellent customer service whilst under pressure at a high graded international hotel or resort or similar environment.
  • Excellent data manipulation and analysis skills.
  • Excellent communication, interpersonal and negotiation skills, the ability to influence others and manage relationships.
  • Highly developed interpersonal skills with the ability to influence and negotiate with key client groups and communicate to them coherently difficult decisions.
